Overview
IbisLink is committed to protecting user privacy and handling personal information responsibly. This Privacy Policy explains how information is collected, used, stored, and protected when using the IbisLink application, in accordance with the Australian Privacy Act 1988 and the Australian Privacy Principles.
Purpose of the application
IbisLink is a personal productivity tool designed to help users organise and view their own roster information and perform indicative calculations based on user-provided data and publicly available employment agreement information.
IbisLink is not an official airline or employer system, is not endorsed by any airline or employer, and does not replace employer-provided systems, records, or advice.
Account requirement
For use prior to 28 February 2026: creating an account was required to use IbisLink. Accounts were used solely to authenticate users, protect access to app features, and support basic account management. Users could delete their account at any time using in-app settings or by contacting the developer.
For use after 28 February 2026: creating an account is not required to use IbisLink. Accounts created before 28 February 2026 have been sanitised and deleted.
Information we collect
Personal Information
For use before 28 February 2026, when you created an account, IbisLink collected your email address and secure authentication identifiers. Authentication was managed using Firebase Authentication.
We collect your first name and last name to display on the home page. It is not transmitted or stored outside the device you install IbisLink on.
We collect your fleet, operational rank, enterprise agreement, classification (training, checking or higher duties) and years of service. We do this to calculate your pay under the main function of IbisLink.
User-provided information
Depending on how you use the app, you may choose to enter or import optional information such roster information (including but not limited to, duty start and end times, flight numbers, aircraft type, flight hours, duty hours).
This information is provided voluntarily and is primarily stored locally on your device.
Calendar Sharing
Your entered or imported roster data may be trunicated and stored as an ICS file in Google Firebase servers in Singapore or Australia (subject to change). Your sensitive personal data like name, fleet or rank is not explicitly stored in this file. It may unintentionally be transmitted if that data is stored in your roster comments.
Pay Data
Your pay data remains on your device memory and is not tramsitted to the internet.
How your information is used
Your information is used only to display your roster in a readable format, perform indicative pay or allowance calculations based on public agreements obtained from the Fair Work Commission Australia, support personal calendar export features, and manage authentication and account access prior to 28 February 2026.
IbisLink does not provide professional, legal, financial, or employment advice. All calculations and outputs are indicative only and must be independently verified by the user.
Local processing and data storage
Local-only operational data
IbisLink is designed so that roster data, duty data, and calculation results are processed and stored locally on the user’s device. The developer does not require access to this data to operate the app.
All data provided to the app is stored on the device and is not exported to online storage or a server, except for Flappy Bus username and score.
Users that choose to flag a tech question as problematic via the flag button, will have their rank and fleet stored in the quiz server to ensure the person reporting the question is appropriately qualified to provide technical advice.
Cloud services
Limited cloud services are used for user authentication prior to 28 February 2026 and necessary data obtained from public sources that allow critical application function, such as rates of pay, allowances, and pay frequency.
These services are provided via Google Firebase and Google Cloud, which may store data on servers located outside Australia. Google’s services comply with recognised security and privacy standards.
No operational roster data is retained by the developer for analytics, monitoring, or support purposes.
Calendar and export features
IbisLink may allow users to generate calendar files, including .ics files, or export information for personal use.
Any export or use of data outside the app is initiated by the user. Users are responsible for ensuring that their use of export features complies with their employer’s IT and cybersecurity policies and any contractual or workplace obligations.
Certain export or synchronisation features may be restricted, modified, or disabled to ensure compliance with applicable cybersecurity requirements.
Employer policy compliance
Users are solely responsible for ensuring that their use of IbisLink complies with their employer’s IT policies, cybersecurity requirements, and data handling obligations.
IbisLink must not be used in any way that results in the unauthorised transmission, storage, or processing of employer system data outside approved employer systems.
Data sharing
IbisLink does not sell personal information, does not share user data for advertising purposes, and does not proactively disclose user data to employers or third parties.
Information may be disclosed only where required by law or necessary for platform security and compliance purposes.
Data retention and deletion
Locally stored data remains on your device until you delete it or uninstall the app. Apple devices may retain certain persisted data items in Keychain Access until the device is restored, wiped, deleted, or destroyed.
Account-related cloud data is retained only while your account is active prior to 26 February 2026. You may delete your account at any time, which will result in deletion of associated cloud-stored account data within a reasonable timeframe.
Security
Reasonable steps are taken to protect information from misuse, loss, and unauthorised access, including secure authentication services, restricted database access rules, and encryption where appropriate.
No system can be guaranteed to be completely secure. Users should avoid storing sensitive information unnecessarily.
Your rights
Under the Australian Privacy Act 1988, you have the right to access personal information held about you, request correction of inaccurate information, and request deletion of your account and associated data.
Changes to this policy
This Privacy Policy may be updated from time to time to reflect changes in functionality, legal requirements, or security practices. The current version will always be available within the app.
